Smart OST to PST Conversion – Easy Manual Procedure

In these days, Outlook email client has become an indispensable software application for desktop users. Almost every single email user is now aware of Outlook client and its vast benefits. Be it a home user or an office worker, all are using emails to communicate with their families, friends, office colleagues and business clients. Though there are numerous options available in the market, but Outlook client is the top-priority of every single email user using Windows system. In this blog post, we’ll talk about two Outlook data files, i.e. PST and OST, and why we need OST to PST conversion.

Outlook Data Files

Being an Outlook user, you must be aware of the file into which Outlook stores all your email messages. It creates an Outlook data file on your local system in which your Outlook profile is configured. An Outlook data file can store email messages, contacts, calendars, tasks, notes, journals as well as attachments. There are two types of Outlook data file: PST aka personal storage table and OST aka offline storage table. Though both are Outlook data files and used for same purpose as well, but still there’s a major difference.

If you’re using Outlook as a stand-alone application on your desktop, it creates PST file on your local system to store your mailbox data. But if you’re connecting to an Exchange Server, it stores all your mailbox data in EDB aka Exchange Database files on server. On a local system, OST file is created (if you enable the setting on Server) which stores all your mailbox data. You can use this file in offline mode.

Need for OST to PST Conversion

Sometimes situations may come when you need to convert OST to PST format. The most common situations are discussed below:

Scenario #1 – Exchange Server Crashes Down

Microsoft Exchange Server is prone to severe issues which may cause serious problems sometimes. Unexpected crash is the most common problem occurred in Exchange Server due to numerous reasons, such as: sudden power failure, malicious software, virus infection, etc. You can’t access your Outlook profile at such point of time as you’re not able to connect to the Exchange Server. This could be a challenging situation for server administrator. You have to wait until the Exchange Server is successfully repaired. In such situation, you may need to convert OST to PST format.

Scenario #2 – Exchange Server Goes for Maintenance

Exchange Server needs regular maintenance in order to function in a perfect way. If it goes for maintenance, you’re not able to access your mailbox. Sometimes, it may become necessary for you to have an access to your mailbox items. Though you have OST file on your local system containing your mailbox data, but you can’t synchronize them with MS Exchange Server. In such situation, you may need to convert OST to PST format.

Scenario #3 – Mailbox Migration

If you’re migrating mailbox data from one place to another place, OST to PST conversion becomes an essential task. You can only access OST file on the same system where it was originally created. You can avoid this limitation by converting OST file into PST format, and then can access the file on any computer.

Scenario #4 – OST Corruption

OST file is also prone to corruption like PST file, and can become inaccessible due to numerous reasons. As there’s no effective OST Repair tool available in the market, the only way to recover mailbox data is converting OST to PST format by using a professional OST to PST Converter utility. Though Microsoft provides Integrity Check tool aka scanost.exe, but it’s not that much effective in case of severe corruption.

Scenario #5 – Mailbox Recovery after Accidental Deletion

If you’ve accidentally deleted the mailbox on the Exchange Server, you can recover it back by converting OST to PST format.

Aforementioned are the most common scenarios when OST to PST conversion becomes essential for Outlook users.

How to Convert OST to PST Format?

You can try an easy manual trick to transfer mailbox data from OST to PST file. The manual trick doesn’t require any paid software. But before you can try it, you need to make sure things:
