SysinfoTools Gmail Backup Tool Software Guide

Step 1: Download and Run the Tool


Launch the Gmail Backup tool on your system. Run it as an administrator.

Step 2: Select Backup Option


In the opening wizard, select Gmail(Backup Mails Only), enter your Gmail credentials, and click Sign In.

Step 3: Select Mailboxes


Now, choose the mailbox folders from your Gmail account preview and click Next.

Step 4: Select Saving Format


To backup, Gmail Mails to PST Format, choose the PST option from the drop-down menu.

Step 5: Remove Duplicate Mails


Further, to eliminate duplicate emails from your files, select Skip Duplicate Email(s) and choose the basis for removal- To, From, Subject, and Body.

Step 6: Applying Additional Features


Gmail Backup Tool also offers some additional features. These are:

Split PST: This feature can be used to split large output PST files into smaller PST files.

Migrate or Backup Emails Without Attachments: Check this to skip the file attachments while migrating the emails.

Free Up Server Space: Utilize this feature to delete the migrated data from the server.

Step 7: Applying Date Filter


You have an optional Date Filter in the software wizard. Select this filter to migrate selective emails in a specific time period. Click the Next button to proceed further.

Step 8: Specify Path


Subsequently, click the Save Path button to browse and select the destination of the PST files.

Step 9: Backup File


Finally, click on the Download button to initiate the backup of the Gmail file to PST file format.

Step 10: View Backup Log


After successful migration, click the OK button to close the window. Additionally, click the Log Screen button to view a detailed log of the migration process.

To backup, Gmail emails to G Suite, click Migrate in Email Client. A new window opens. Select the Google Workspace option from the drop-down menu.

Step 5: Login to G Suite Account


Next, enter your Gmail email address and click Sign In to log in to your account.

Step 6: Authentication


You will be redirected to the browser to complete the authentication process. After successful authentication, you will receive this message.

Step 7: Applying Additional Features


This tool provides some additional options to enhance your backup process. These are:

Skip Duplicate Email(s): This feature helps to exclude duplicate emails during the migration process based on To, From, Subject, and Body.

Migrate or Backup Email(s) without Attachment File(s): Check this feature to skip the file attachments while migrating the files.

Free Up Server Space: Utilize this feature to delete the migrated data from the server.

Step 8: Apply Filter


Furthermore, check the box beside the Date Filter option to migrate selective emails in a specific time period. Click Next.

Step 9: Start Backup


Finally, click on the Download button to initiate the backup of the Gmail file to G Suite.

After successful migration, click the OK button to close the window. Additionally, click the Log Screen button to view a detailed log of the migration process.

In the opening wizard, select Google Workspace to backup all Google Account data including Contacts, Calendars, and more.

Step 3: Login Gmail


Now, enter your G Suite ID account email and click Sign In.

Step 4: Authentication


You will be redirected to the browser to complete the authentication process. After successful authentication, you will receive this message.

Step 5: Select Options to Backup


Here, you get different options for backup such as Email, Contacts, Calendars, and Drive. You can select them as needed. Moreover, you also get an option as Free Server Space to remove files from the server after backup.

Step 6: Backing Emails


Now, if you select Emails along with other data, the first thing you get is:

Select File Format/Email Client: Choose to back up your emails in a different file format like PDF, CSV, MBOX, etc., or to another email client like Office 365, Zoho, etc.

Let’s say we choose a PDF format.

Step 7: Select Additional Options


Further, we will get some additional features such as:

Skip Duplicate Email(s): This feature helps to exclude duplicate emails based on To, From, Subject, and Body

Migrate or Backup Email(s) without Attachment File(s): Check this feature to skip the file attachments while migrating the files.

Save Attachments in Separate Folder: To save attachments in a different or new folder on your system.

Note: You can only choose any one of the features for Attachments.

Step 8: Apply Filters


Moreover, you also get some other options to enhance the backup process, like:

Convert Entire Gmail Folder: To backup all your messages and emails present in the Gmail folder.

Date Filter: Specify a start date and end date to backup emails for the particular time.

Naming Convention: Utilize this option to make it easier to understand the filename. You can choose it based on To, From, Subject, and Date. After that, click Next to continue the process.

Step 9: Backing Other Items


However, if you select to backup contacts, calendars, photos, or more (excluding Emails). Simply click Next. These will get saved in their respective file formats after you complete the process.

Step 10: Specify Destination


Next, click Save Path, browse, and select the location to save your resultant PDF file. Click Open.

Step 11: Backup Gmail


Finally, click on the Download button to initiate the backup of the Gmail files through Google Workspace.

After successful migration, click the OK button to close the window. Additionally, click the Log Screen button to view a detailed log of the migration process.
